Sponsorship: Cinta Kebaya Kuning
A. Required Deliverables
1. Dedicated vertical video per kebaya set
For every kebaya set loaned, one dedicated vertical video must be created.
For example, if 10 kebaya sets are loaned, 10 dedicated vertical videos are required.
Each dedicated video must be intentionally created to feature the kebaya and character styling. The video must not simply be taken from rehearsal footage, random behind-the-scenes clips, performance recordings, or footage where the kebaya is only incidentally visible.
Each dedicated video must be posted by both:
- The actor wearing the kebaya, and
- The official theatre club account.
For example, if 10 kebaya sets are loaned, 10 dedicated videos must be created, and each video must be posted on both the relevant actor’s account and the official theatre club account.
Each dedicated video must be:
- Shot vertically in 9:16 format;
- Suitable for Instagram Reels, TikTok, Facebook Reels, YouTube Shorts, Stories, and/or any other social platforms used;
- Minimum 20 seconds long;
- Recommended duration of 20–45 seconds;
- Filmed clearly with the kebaya visible as the main focus;
- Not cropped from horizontal footage unless approved by Royal Kebaya.
Horizontal videos may be provided as additional archive footage, but the required sponsor videos should be vertical-first.
2. Dedicated photo content per kebaya set
For every kebaya set loaned, Royal Kebaya must receive a minimum of 10 dedicated high-resolution edited photos per set.
Each set should include, where possible:
- Full-body front view;
- Full-body back view;
- Side angle;
- Seated pose;
- Standing pose;
- Close-up detail of fabric, buttons, embroidery, lace, or design;
- Movement shot;
- Character/styling portrait;
- Group or interaction shot, if relevant;
- Clean solo shot suitable for Royal Kebaya’s catalogue, social media, or promotional use.
For example, if 10 kebaya sets are loaned, Royal Kebaya should receive at least 100 dedicated edited photos in total, excluding raw files and behind-the-scenes materials.
3. Sponsor announcement post
The theatre club must post at least one dedicated sponsor announcement post before the teaser shoot or before the performance promotion begins.
This post should clearly introduce Royal Kebaya as the kebaya/wardrobe sponsor for the production.
The post must be published on relevant platforms used by the theatre club, including Instagram, TikTok, Facebook, YouTube Shorts, X/Twitter, Threads, LinkedIn, Pinterest, Snapchat, WhatsApp Status/Channel, Telegram Channel, and/or any other social platforms used where relevant.
4. Group/cast video
The theatre club must create and post at least one group/cast video featuring the Royal Kebaya looks.
This video should show multiple actors wearing the Royal Kebaya outfits and should be suitable for Instagram Reels, TikTok, Facebook Reels, YouTube Shorts, Stories, and/or any other social platforms used.
5. Teaser or behind-the-scenes video
The theatre club must create and post at least one teaser or behind-the-scenes video featuring the Royal Kebaya outfits.
This can include preparation, styling, fitting, teaser shoot moments, character transformation, or production content, as long as the Royal Kebaya outfits are clearly visible and credited.
6. Performance week content
During performance week, the theatre club and relevant actors should post Story content and/or short-form content featuring the Royal Kebaya outfits.
This may include Instagram Stories, Facebook Stories, TikTok Stories, YouTube Shorts, WhatsApp Status, Snapchat Stories, Threads posts, X/Twitter posts, Telegram Channel posts, and/or any other social platforms used.
7. Post-performance recap post
The theatre club must post at least one post-performance recap post or video featuring the Royal Kebaya outfits.
This should be posted after the performance and should clearly credit Royal Kebaya as the kebaya/wardrobe sponsor.
8. Event and venue visibility
Where possible, Royal Kebaya should receive visibility on:
- Event posters;
- Teaser posters;
- Ticketing pages;
- Event registration pages;
- Sponsor slides;
- Venue screens;
- Printed programmes;
- QR code displays;
- Photo booth or media wall;
- Social media event pages;
- Any other promotional materials used for the production.
These are additional recognition items and do not replace the required content deliverables.
9. Full original file delivery
Royal Kebaya must receive all original high-resolution photo and video files where any Royal Kebaya outfit is visible.
This includes:
- Dedicated sponsor videos;
- Dedicated photos;
- Teaser shoot materials;
- Behind-the-scenes content;
- Rehearsal visuals;
- Performance-related visuals;
- Actor content;
- Group content;
- Unused photos;
- Unused videos;
- Rejected takes;
- Bloopers;
- Alternative angles;
- Phone camera footage;
- Photographer footage;
- Videographer footage;
- Editor files where relevant;
- Any other material captured or recorded that features any Royal Kebaya outfit.
This applies whether or not the material is eventually posted, edited, selected, or used by the theatre club.
B. Terms and Conditions
1. Social media tagging, mention, and collaboration requirement
Any photo, video, Story, Reel, Short, post, pin, status, live content, community post, or any other social media content where Royal Kebaya outfits are visible must clearly credit Royal Kebaya.
This applies to Instagram, TikTok, Facebook, YouTube, YouTube Shorts, X/Twitter, Threads, LinkedIn, Pinterest, Snapchat, WhatsApp Status/Channel, Telegram Channel, and/or any other social platforms used.
For every relevant post, Story, Reel, Short, video, photo, or any other platform content where Royal Kebaya outfits are visible, the account posting must:
- Tag the Royal Kebaya account in the post setting where available;
- Tag the Royal Kebaya account on the photo/video where available;
- Tag and mention the Royal Kebaya account in the caption;
- Tag the Royal Kebaya account in Stories/Status where available;
- Invite the Royal Kebaya account as collaborator/co-author where available;
- Use paid partnership, branded content, business partner tag, partnership ad permission, commercial content disclosure, or equivalent sponsor disclosure tools where required or available.
This requirement applies to content posted by:
- The theatre club;
- Actors;
- Production team;
- Photographer;
- Videographer;
- Editor;
- Makeup artist;
- Stylist;
- Crew members;
- University society pages;
- Event pages;
- Any other relevant person or account posting content where Royal Kebaya outfits are visible.
2. Public visibility period
All required posts must remain publicly visible for a minimum of 12 months.
The posts must not be deleted, archived, hidden, restricted, made private, removed from the account feed, or made inaccessible during the 12-month minimum visibility period.
3. Content quality requirement
All photos and videos must be recorded in the highest resolution reasonably available on the phone camera, device, or camera used.
The outfits must be clearly visible, properly framed, and presented respectfully.
The dedicated sponsor videos and photos should not be blurry, overly dark, poorly cropped, low-resolution, heavily filtered in a way that affects the outfit colour/design, or visually unsuitable for brand use.
4. Original file requirement
All photo and video files provided to Royal Kebaya must be the original high-resolution files directly from the phone camera, device, camera, photographer, videographer, or editor.
Files must not be:
- Screenshots;
- Screen recordings;
- Compressed WhatsApp files;
- Instagram downloads;
- TikTok downloads;
- Facebook downloads;
- YouTube downloads;
- Exported copies from any social platform;
- Low-resolution preview files;
- Watermarked platform files;
- Files with platform compression applied.
5. File delivery coverage
The file delivery requirement applies to all materials captured by the theatre club, actors, photographer, videographer, editor, production team, social media team, or any other relevant party involved in the production or content creation.
Any photo or video taken or recorded that includes any Royal Kebaya outfit must be provided to Royal Kebaya, whether used or unused.
6. Royal Kebaya usage rights
Royal Kebaya may use, repost, edit, crop, publish, advertise, boost, print, distribute, and repurpose all submitted photos, videos, raw files, behind-the-scenes materials, testimonials, captions, and related content across Royal Kebaya’s social media, website, ads, catalogues, WhatsApp, marketplace listings, printed materials, digital materials, and future campaigns as part of this sponsorship arrangement.
This may be done with no further restriction, approval requirement, royalty, fee, or claim from the theatre club, actors, production team, photographer, videographer, editor, stylist, makeup artist, or other relevant parties.
The theatre club is responsible for ensuring that all relevant parties involved have agreed to this usage arrangement before the outfits are loaned or used.
7. Content approval
Required sponsor deliverables should be submitted to Royal Kebaya for review before posting.
Royal Kebaya may request reasonable changes relating to:
- Tagging;
- Caption;
- Brand mention;
- Platform collaboration;
- Visibility;
- Video quality;
- Photo quality;
- Outfit visibility;
- Factual accuracy;
- Overall brand suitability.
8. No competitor tagging
Content featuring Royal Kebaya outfits should not tag, mention, promote, or collaborate with competing kebaya boutiques, clothing rental brands, traditional wear boutiques, or similar fashion sponsors unless approved by Royal Kebaya in advance.
9. Promo code and conversion tracking
Where possible, the theatre club and actors should include a Royal Kebaya promo code, QR code, link, or call-to-action in captions, Stories, posts, and event materials.
This helps Royal Kebaya track the value generated from the collaboration.
10. Loan agreement, deposit waiver and liability acknowledgement
A loan agreement will be required before collection.
The loan agreement should include:
- Full item list;
- Photos of all items before collection;
- Replacement value for each item;
- Loan period;
- Collection date;
- Return date;
- Return condition;
- Care requirements;
- Damage responsibility;
- Loss responsibility;
- Cleaning requirements;
- Late return terms;
- Sponsorship value;
- Deposit waiver terms;
- Person-in-charge responsible for the items.
Royal Kebaya has agreed to waive the refundable security deposit for this collaboration as a goodwill gesture and in support of the production.
The waiver of the security deposit does not waive, reduce, or remove the theatre club’s responsibility, liability, or obligation to compensate Royal Kebaya for any loss, damage, stains, missing items, late return, cleaning costs, repair costs, replacement costs, unfulfilled deliverables, misuse of the outfits, or breach of this agreement.
The theatre club, production team, and named person-in-charge for collection and return acknowledge that they remain fully responsible for the safekeeping, care, handling, return, and proper use of all Royal Kebaya items throughout the loan period.
If any item is lost, stolen, damaged, stained, altered, permanently affected, not returned, returned late, or returned in a condition different from its original handover condition, Royal Kebaya reserves the right to charge the theatre club and/or the named person-in-charge the applicable cleaning cost, repair cost, restoration cost, replacement value, late return charge, or any other reasonable cost incurred by Royal Kebaya.
11. Care, Handling, and Damage Responsibility
The theatre club, production team, actors, and person-in-charge must take proper care of all Royal Kebaya items during fitting, teaser shoot, rehearsal, performance, transport, storage, and return.
No alteration, cutting, sewing, dyeing, damaging pinning, permanent styling changes, glue, tape, adhesive, stapling, hemming, or modification of the kebaya sets is allowed without prior written approval from Royal Kebaya.
The kebaya sets must not be exposed to:
- Food stains;
- Drinks;
- Smoke;
- Paint;
- Fake blood;
- Makeup stains;
- Foundation stains;
- Lipstick stains;
- Sweat damage caused by improper handling;
- Glitter;
- Confetti residue;
- Heavy stage effects;
- Water effects;
- Outdoor mud or grass areas;
- Rough surfaces;
- Sharp accessories;
- Jewellery or props that may pull, tear, scratch, or damage the fabric;
- Strong perfume or chemical odour;
- Anything else that may stain, damage, tear, discolour, smell, or permanently affect the outfits,
unless approved by Royal Kebaya in advance.
The items must be stored properly, kept dry, kept away from food and drinks, and transported safely in suitable garment bags or protective covering.
The theatre club must not wash, dry-clean, iron, steam, repair, alter, or attempt to remove stains from the kebaya sets without prior instruction or approval from Royal Kebaya.
Any stain, tear, missing accessory, broken button, loose stitching, fabric pull, odour, or damage must be reported to Royal Kebaya immediately.
If any Royal Kebaya item is returned with stains, odour, damage, missing parts, alteration, or any condition issue that was not recorded during handover, Royal Kebaya reserves the right to determine the appropriate cleaning, repair, restoration, or replacement action and charge the cost to the theatre club and/or named person-in-charge.
12. Responsibility of the Theatre Club, Production Team, and Person-in-Charge
The theatre club is responsible for ensuring that all actors, production members, photographers, videographers, editors, social media handlers, stylists, makeup artists, crew members, and relevant parties understand and comply with these requirements.
The theatre club must appoint one main person-in-charge for the collaboration and one person-in-charge for collection and return. The same person may hold both roles if agreed by Royal Kebaya.
The named person-in-charge for collection and return will be responsible for:
- Collecting the items;
- Checking and acknowledging the item list and condition during handover;
- Ensuring safe transport and storage;
Monitoring usage by actors and production members; - Preventing unauthorised alteration, misuse, or careless handling;
- Ensuring all items are returned on time;
- Ensuring all items are returned in the same condition as received;
- Coordinating file delivery and content deliverables where required.
The theatre club and named person-in-charge acknowledge that the items are under their custody, care, and responsibility from the time of collection until Royal Kebaya confirms that all items have been returned and inspected.
If an actor, crew member, photographer, videographer, stylist, makeup artist, production member, or any other relevant party causes loss, damage, stains, alteration, delay, or breach of this agreement, the theatre club and named person-in-charge remain responsible to Royal Kebaya.
13. Failure to Fulfil, Breach, and Chargeable Consequences
If the theatre club, actors, production team, person-in-charge, or relevant parties fail to fulfil the agreed deliverables, tagging requirements, collaboration requirements, public visibility period, original file delivery, usage rights requirements, care requirements, return requirements, or any other term of this agreement, Royal Kebaya reserves the right to:
- Request correction, reposting, replacement content, additional content, or extended posting visibility;
- Request immediate delivery of missing original files;
- Request removal, correction, or reposting of content that misrepresents Royal Kebaya or fails to meet the agreed requirements;
- Charge the equivalent sponsorship value of the loaned kebaya sets;
- Charge the replacement value of any lost, stolen, missing, severely damaged, or permanently affected item;
- Charge cleaning, repair, restoration, transport, recovery, administrative, or other reasonable costs incurred due to breach, damage, stains, delay, or non-compliance;
- Charge late return fees if items are not returned by the agreed date and time;
- Decline future collaborations with the theatre club, university society, actors, production team, or related parties;
- Take further action to recover outstanding items, costs, or losses where necessary.
The waiver of deposit does not prevent Royal Kebaya from claiming or charging any amount due under this agreement.
14. Replacement Value, Payment Obligation, and Recovery of Costs
The replacement value of each Royal Kebaya item will be stated in the item list and acknowledged during handover.
If any item is lost, stolen, not returned, damaged beyond reasonable repair, permanently stained, permanently altered, or returned in a condition that Royal Kebaya considers no longer suitable for rental, sale, campaign, or customer use, the theatre club and/or named person-in-charge must pay the stated replacement value of the affected item.
If an item can be cleaned, repaired, or restored, the theatre club and/or named person-in-charge must pay the actual cleaning, repair, restoration, or service cost incurred by Royal Kebaya.
If the item cannot be used by Royal Kebaya for another booking, campaign, client, sale, or business purpose due to late return, damage, stains, missing parts, or unresolved condition issues, Royal Kebaya reserves the right to claim reasonable loss, replacement, or compensation based on the circumstances.
Any amount due must be paid within seven calendar days from Royal Kebaya’s written notice, unless otherwise agreed in writing.
15. Late Return
All Royal Kebaya items must be returned by the agreed return date and time.
If the items are returned late without prior written approval from Royal Kebaya, Royal Kebaya reserves the right to charge a late return fee of RM50 per item per day.
If the late return causes Royal Kebaya to lose another booking, client opportunity, campaign use, sale, or business opportunity, Royal Kebaya reserves the right to claim the reasonable loss or cost caused by the late return.
Items will only be considered returned after Royal Kebaya has physically received and inspected them.
16. Handover and Return Inspection
Royal Kebaya will record photos and/or videos of each item before handover.
The theatre club and/or named person-in-charge must check and acknowledge the item list, item count, condition, accessories, and replacement value during collection.
Upon return, Royal Kebaya will inspect all items. Any stains, damage, missing items, odour, alteration, or condition issues found after return will be recorded and communicated to the theatre club and/or named person-in-charge.
The pre-handover photos/videos, item list, signed acknowledgement, and return inspection record may be used as evidence of the item condition before and after the loan period.
17. Approved Use Only
The Royal Kebaya items may only be used for the agreed production, teaser shoot, fitting, promotional content, rehearsal, and performance related to this collaboration.
The items must not be lent, rented, transferred, borrowed, reassigned, worn, photographed, filmed, or used by any person, production, event, shoot, or purpose outside this agreed collaboration without prior written approval from Royal Kebaya.
The items must not be taken to any unauthorised location, used for personal photoshoots, used for unrelated content, or worn by individuals who are not part of the agreed production unless approved by Royal Kebaya.
18. Cancellation, Postponement, or Change of Production
If the teaser shoot, performance, event, or production is cancelled, postponed, relocated, rescheduled, materially changed, or if the number of actors/outfits required changes, the theatre club must inform Royal Kebaya immediately.
Royal Kebaya reserves the right to request immediate return of the items, revise the deliverables, revise the loan period, or cancel the sponsorship arrangement if the original collaboration purpose changes.
Cancellation or postponement of the production does not automatically remove the theatre club’s responsibility to return the items safely, provide any content already captured, and fulfil any agreed deliverables that remain applicable.
C. Sponsorship Value
The parties acknowledge that Royal Kebaya is providing the kebaya sets on a sponsored loan basis. The sponsorship value includes the use of the kebaya sets, styling support where applicable, and brand participation in the production.
The estimated sponsorship value of the loaned items is RM6,000.00, excluding replacement value for loss, theft, damage, stains, alteration, late return, cleaning, repair, restoration, or other costs arising from breach or non-compliance.
The RM6,000.00 sponsorship value is waived as part of this collaboration on the condition that the theatre club fulfils the agreed deliverables, tagging requirements, public visibility period, file delivery requirements, usage rights, care requirements, and return obligations.
If the theatre club materially fails to fulfil the agreed obligations, misuses the items, fails to return the items, breaches the care requirements, or fails to cooperate in resolving any issue, Royal Kebaya reserves the right to charge the sponsorship value, replacement value, repair cost, cleaning cost, late return fee, or any other reasonable amount due under this agreement.

E. Acknowledgement
By signing below, the parties confirm that they have read, understood, and agreed to the sponsorship deliverables, content requirements, usage rights, file delivery requirements, public visibility period, costume loan terms, care requirements, responsibility clauses, deposit waiver terms, replacement value terms, and consequences of breach stated in this agreement.
The theatre club, production team, and named person-in-charge acknowledge that Royal Kebaya has agreed to waive the refundable security deposit as a goodwill gesture. This waiver does not waive, reduce, or remove their responsibility or liability for any loss, theft, damage, stains, missing items, late return, unfulfilled deliverables, non-compliance, or breach of this agreement.
The person signing on behalf of the theatre club confirms that they are authorised to represent the University and theatre club/production team for this collaboration and to accept responsibility for fulfilling the obligations stated in this agreement.
The person-in-charge for collection and return confirms that they personally acknowledge receipt of the items, the item condition, replacement values, care requirements, and return obligations.
Important: The kebaya sets will only be released after this agreement is signed, the item list and replacement values are acknowledged, and the person-in-charge has provided full contact details.
